Agree the lawful basis, opt-out and safeguarding information, authorised use, written data-sharing responsibilities and retention periods.

Payments are processed by a specialist gateway; high-resolution files are released only against verified purchases to the account holder.
Safeguards are built into the account, gallery and image-delivery process, with the access window agreed before photographs are shared.
Every school-linked customer account, including invited family accounts, requires a password and an authenticator code or single-use recovery code. Staff accounts also require MFA. This adds a second check against unauthorised access.
Your school can prescribe the gallery access period — for example, 30, 60 or 90 days. Access for authorised school contacts and invited families ends at the agreed gallery expiry date. Accounts may remain for their purchase records; expired galleries are no longer accessible.
Original images are stored outside the public website directory. Shared previews are resized and watermarked, gallery permissions are checked on access, and purchased originals are released only after verified payment.
People sign in with their own accounts and receive access to designated galleries. Access can be reviewed or revoked, and private gallery views and downloads are logged. We agree the sharing and retention arrangements with each school.
